Response Groups#
A response group is a mechanism designed to allow the school to collect multiple “sets” of responses to a single mentoring form over time. It allows you to create a group of responses that can be managed as a unit allowing you to set deadline dates and collate responses more effectively.
The resulting response groups can be used to analyse data over time by senior leaders at the school and can be used to support the school in the event of an OFSTED inspection.
Creating a New Response Group#
To create a new response group follow the steps to view existing groups and click the new
button at the top of the screen.
Step 1 - Response Group Details#
Once on the create screen you can enter the details to create a new response group.
Name Required
The name of the response group. This will be used to identify a specific group of responses for managing the workflow and performing analytics.
Description
A description to explain the purpose of this response group.
Student Deadline Date Required
The date by which students must submit the response.
Staff Deadline Date Required
The date by which staff must submit the response. This must be after the student deadline date.
Owner Required
The owner of the response group.
Once you’ve entered these details you can move on to step 2.
Step 2 - Recipients#
This step allows you to select the students that you’d like to collect a response from. You can then select either individual students or groups to make finding the right people easier. Once selected the list of students in the selected groups will be loaded on the right of the screen.
You can then make further selections of students allowing you to collect responses from only those people you need to. Use the checkboxes to include or exclude a student, there are select all
and select none
buttons allowing you to select all or none of the students in the list. These selection options work with a filtered list when a search term is entered making selection of sub sets easier.
Once you’ve selected your students, move onto the final step by clicking the next
button or the Confirm & Assign header.
Step 3 - Confirmation#
This step is included to summarise the selections you’ve made to reduce the chance that you setup a group containing an error. Once confirmed click the assign forms
button to complete the process.
Overview#
To view the overview for a specific response group, follow the steps to view existing groups and click the overview
button.
You will then be able to see the details about the response group including:
Name
The name of the response group.
Owner
The owner of the response group.
Student Deadline Date
The deadline date for the student.
Staff Deadline Date
The deadline date for the staff member.
Student Responses
You can see the submission status for all of the students that were assigned a response.
Editing a Response Group#
To edit the details of the response group, follow the steps to view existing groups and click the edit
button.
You will then be able to edit the details of the response group, once updated be sure to click the save
button to save the changes.
Viewing Existing Response Groups#
To view the existing response groups select the Academic > Mentoring Forms > Assignments
option from the side menu. This will open the assignments screen where you can see all currently published mentoring forms.
You can see the following details for each form:
Owner
The staff member that owns the form.
Name
The name of the form.
Description
The description of the form that was added to explain it’s purpose.
Number of Response Groups
The number of response groups for the form.
Selecting the desired form will open the list of response groups for the form.
A summary for each response group is shown allowing you see at a glance the status of each of the groups. This includes the following information.
Owner
The owner of the response group.
Name
The name of the response group.
Total Assigned
The number of students that were assigned a response as part of the response group.
Students Completed
The number of students that have submitted their response.
Staff Completed
The number of staff members that have submitted their response.
From here you have a number of options:
New
Clicking the new button at the top of the screen will allow you add a new response group for this form.
Overview
Clicking the overview button will take you to a screen that shows more detailed information about the responses in the group.
Edit Response Group
Clicking this button will allow you to edit the details of the response group.
Archive
Clicking the archive button will remove all responses within the response group and the response group itself.
Archive Response Group#
To archive a response group and all of it’s responses, follow the steps to view existing groups and click the archive
button.
You’ll be asked to confirm your choice to archive the response group before it’s removed.
Caution
This action cannot be undone so please check that you’re deleting the correct group.
