App Settings#
The app settings allow you to control various parts of the system and customise the platform to meet your school’s needs.
Tip
Where appropriate, settings are given a default value. These values are a good starting point to get you up and running but we do recommend that you review each setting to ensure that it meets your specific needs.
Caution
We do not recommend that you assign permission to modify these settings to many users within the school. Some settings have a big impact to the way the system operates and can cause issues including loss of data if incorrectly configured.
App settings are available for the features your school has purchased, any app settings you don’t see are likely hidden because the school has some functionality disabled. If you’d like to speak to us about enabling additional functionality, please contact your account manager.

Sixth Form Application Management#
Applicant Contacts#
Allow Applicants to Update Main Contacts#
When enabled applicants will be allowed to update the main contact for their applications. We recommend that you don’t allow this as it’s usually more suitable to communicate directly with the applicant and not a contact.
Tip
We recommend that you set this option to “No”, by forcing main contact changes to come through the school you stop a situation where a parent wants to be the main contact but the applicant would prefer it was them. Applicants to sixth form are usually of an age where their data protection rights require consent from the applicant to communicate with their parents about their application process. Enforcing this option requires the student to send a message via the Talk to Us mechanism to request this change and provides an audit trial for the school.
Allow Contacts to Be Added to External Applications#
When enabled the system will allow external applicants and contacts to add additional contacts to their applications. You should take care to only enable this if it’s actually necessary, you should only collect data required to complete the application process in order to minimise your risks under GDPR.
Tip
We recommend that you do not allow the applicants and contacts to add additional contacts. There is no requirement for an application to contain more than the details of the applicant and therefore it’s unnecessary. Data protection legislation such as UK GDPR states you shouldn’t collect data unless you need it.
The applicant is required to provide 2 contact numbers as part of their own details so you should have all the information you need to contact them.
You should also consider the impact on staff administrative time before enabling this option. More contacts means more accounts that have to be maintained. This means there are more people that may forget their login details and need support.
Allow Contacts to Be Added to Internal Applications#
When enabled the system will allow internal applicants and contacts to add additional contacts to their applications. You should take care to only enable this if it’s actually necessary, you should only collect data required to complete the application process in order to minimise your risks under GDPR.

Courses#
Allow Applicants to Update Fourth Choices#
When enabled applicants will be able to update their own fourth course choices. We recommend you don’t allow this as it’s not standard practice to allow applicants to take four courses without additional conversation.
Tip
A fourth choice being specified has no impact on an applicants chances of being offered a place but it can have an impact on the number of places available within the fourth choices of successful applicants. We do not include fourth choices in any calculations done to calculate the number of places available on a course and therefore can lead to having additional students in a class if not properly managed by the school.
Allow Clashing Courses Selection#
When enabled applicants will be able to show their interest in taking unavailable combinations or courses by choosing the clashing courses. This can be a useful tool for the school to see where student’s would like to take courses but are unable to do so.

Safeguarding#
Concern Reporting#
Notifications#
Always Included CC Staff#
Select the group containing users that you’d like to be automatically added to the CC Staff Member list for all new concern reports that are accepted after initial review.
Tip
We’d recommend you don’t put too many users in this group. When people receive lots of notifications about things and only some of them are relevant they tend to miss the ones that they really need to know about.
Initial Report Review Notification Group#
Select the group containing users that you’d like to receive notifications when a new concern report is made and is in need of review.
Tip
We’d recommend that this group does not include any users in the “Concern Report Rejected Notification Group” to protect against abuse of power.
Rejected Report Notification Group#
Select the group containing users that you’d like to receive notifications when a concern report is rejected after initial review. The purpose of this is so a second person reviews a report ensuring no malicious actions are being taken.
Tip
We’d recommend these users are members of the senior leadership team at the school and does not include anyone with the ability to review initial reports.
Tip
This setting is designed to mitigate the risk of the user reviewing the report sweeping a concern report relating to themselves under the rug. If another user reviews the rejections this should reduce the risk of such activities occurring. While this topic is not pleasant it’s a necessity to ensure children remain protected and all concerns are investigated appropriately.
General#
Safeguarding Leads#
Automatically Assign Heads of Year#
When enabled each student will automatically have their head of year assigned as their assigned safeguarding lead? You can override this if another staff member takes responsibility for a student. If the student has more than one head of year, one of them will be assigned.
Tip
You can always override the selection by editing the choice for a student on their dashboard.
School Designated Safeguarding Lead#
Select the user that is the school’s designated safeguarding lead. This is the person ultimately responsible for all safeguarding activity at the school. Each student can be assigned an alternative ‘Assigned Safeguarding Lead’ that is responsible for the day to day activities relating to safeguarding.
Tip
It’s common for a student’s head of year to be their safeguarding lead and be responsible for the day-to-day safeguarding requirements for the student. We’ve added a setting that allows you to automatically assign a student’s head of year as safeguarding lead. You can change an assignment for a student via their dashboard.
